Are you ready to take on the role of HR Operations Specialist at Spectrum, where you will assist in managing, planning, monitoring, and reporting on key projects from conception to implementation using your exceptional technology skills on platforms like Microsoft and Adobe Suite? In this role, you will handle special projects as needed and support a team of six executives, managing their calendars, travel arrangements, correspondence, and communications with internal and external contacts across the business.


How You’ll Make an Impact

  • Coordinate and work with internal and external parties to organize and execute all major projects
  • Responsible for handling multiple projects simultaneously; design and maintain ad hoc and standard reporting for ongoing business needs and program support
  • Assist in planning, managing, and monitoring projects from conception through implementation, and manage the day-to-day operational aspects of all assigned projects
  • Perform comprehensive event planning and coordination function, including determining attendees, flow of information to attendees, equipment, staffing, catering, location, etc.
  • Organize, prepare, and proofread complex documents and presentations using multiple office technology and software applications (including Microsoft Office Suite) such as Word, Excel and PowerPoint to summarize project progress and outcomes
  • Support the distribution of planned email campaigns and update intranet content as needed
  • Monitor various social media platforms, including but not limited to LinkedIn, Instagram, Facebook, X
  • Support the overall immigration application process to include compiling applications and resumes, coordinating interview scheduling, audit and review applicant batch filings and completing batch reviews for each PERM filing
  • Oversee administrative functions and needs to support executives; coordinates schedules, activities, and administrative details, assist in purchasing, procurement and maintenance of agreements, and place orders for supplies and services
  • Prepare supporting executives for travel, public events and speaking engagements by compiling relevant information and contributing content to presentations, speeches, or other correspondence
  • Participation/support of community events as needed
  • Support with vendor payment processing and the onboarding of new vendors

Working Conditions

  • Hybrid – four days in office, one day remote
  • Flexibility to work extended hours as required, including occasional weekends

Required Qualifications

Education

  • Bachelor's degree or equivalent experience is required

Experience

  • 2+ years project or program management experience
  • 2+ years administrative experience

Skills

  • Exceptional oral and written communication skills; ability to communicate in a straightforward and professional manner to all audiences
  • Strong program and project management skills, including the implementation of project plans, monitoring progress, and reporting outcomes
  • Strong judgement and decision-making skills, with ability to maintain confidential information
  • Self-starter, with strong initiative and ability to work independently with minimal supervision to accomplish job responsibilities
  • Analytical skills, as well as writing, presentation, and data visualization skills; high proficiency regarding the use of technology and software applications (MS Word, Excel, PowerPoint, Outlook, etc.)
  • Willingness to learn new software applications (Adobe Experience Manager and Adobe Campaigns)
  • Ability to prioritize, organize and manage multiple projects and tasks simultaneously in a fast-paced work environment
